If there is something you want to see let us know by emailing dwyers@boreal.org PCF Business/Planning Meeting May 17, 2010 3:15pm Holly Hackett, Anne Wise, Amy Hexum, Dawn Buck, Ted Buck and Deb Dwyer Students Honor’s Celebration –Ice Cream/Popsicles – need to coordinate with Dawn about when grades come out. Ted suggested that we do a waffle breakfast that included invitations. Ted agreed to make waffles. We would do this at 7:45am during symposium. Holly agreed to help with this. I’ll send out a request. Honor’s Breakfast….. Summer Challenge – Amy and Anne joined us for this part of the discussion. Needs to be on the front page with links to various thinks. Anne would like it to be about reading books. Since the info had already gone out we will stick with minutes this year, but NEXT year we will do books. For every week a student reads or does physical activity for 300 minutes they can enter the summer challenge drawing. We talked about book list needing to go home. We will do a $10.00 Barnes and Noble gift certificate for reading each month. For physical activity we will do a $10.00 certificate for Rock Climbing, Bowling and something else. National Honor Society- Need to keep on the agenda—next year Graduation – June 12th – 11am ~ CSS End of Year Picnic – The pavilion is rented from 11-3. Feeding kids at beach. We talked about sending home a notice that (A-C brings chips, D-I brings fruit, ……..) and that parent would help cook man the grill. Need music. Dawn expects about 75% of the student body. CHANGE as of Tuesday May 18th : Lunch will be served at the school Treats at the beach Teachers/Staff Staff Appreciation Week – not discussed Planning for 1st day of school - not discussed Parents Parent Questionnaire – Passed out what we used last year. New family events in Summer and the beginning of the 2010-11 school year. not discusssed Financial/Recap Review the year - Not discussed Financial – Passed out the check register. Next year - Not discussed - will meet this summer PCF Business / Planning Meeting April 1, 2010 – Sara Floerke, Anita Gilles, Dawn Buck, and Deb Dwyer Update from John – We missed a visit from John, Students Spring Clean up city of Duluth April 23rd – We need parental volunteers I’ll send an email. Arts Night (May 11 and 13) – Treats, ticket taker, greeter, treat hostess / coffee maker… Lead person … Will ask Holly to shadow me and write up what a lead person in the future would do…. We also talked about charging students $1.00 and/or having Darin having “jobs” available. I need to look at what Darin and I put together. Spring Play (April 20 – May 2) – See above .. ask Emily what she would like done Senior Projects ~ May 6th, May 18th, and May 20th ~ from 6:30 to 8:30 ~ PCF will coordinate the refreshments. We will first ask senior parents to help with this. For those Senior Projects scheduled directly after school we are suggesting popcorn, juice, pretzel type stuff. Dawn and Deb will coordinate. National Honor Society – Not discussed END of year Picnic (June 10th) – Holly’s update – she has not been able to talk with Texas RoadHouse. She is putting the request in writing and will ask for a quick response. Anita will call Famous Dave’s. See comment under Parents Prom food and chaperones (May 15th) – Need to ask parents to chaperone and/or send appetizers snacks. We need to check which classes are invited to prom w/ Breanna. Senior Recognition (May 20th) – scholarships – At Senior Recognition the faculty recognizes four senior for the four “Rs”. They include a small monetary award with the recognition of $50.00. We decided that the PCF will donate $100.00 to this. Graduation (June 12th) – It’s at 11am at CSS. Academic Recognition- We that we wanted to continue to recognize students for High Honor and Honor Roll. We will do this at the end of the semester during symposium. The treat will be ice cream/popsicle. We need to let staff know that if they have a student that didn’t make the honor roll but they thought should be recognized they needed to let us know and we would make sure that those students were recognized. (One thing I forgot to mention is that I talked to a couple staff about this and they said I think John/Jane Doe is someone I think should have been recognized… and in all cases that person was on the honor roll.) Teachers Teacher Appreciation – Is May 3 – May 5. Kap is so on top of this. She has meetings scheduled for April 13, 20, 27 at 8am-10am at Starbucks. So far $115.00 has been donated to this event. Teacher wish list – Kap has pulled together the beginning of this. I shared the list with those at the meeting. This will help us in next years planning Parent March 16th - Body Image and Eating Disorder –recap – I shared some of the important take aways I got from the evening and said that I thought it was great from a women’s prespective. Sara asked if it was something to be done annually. I think we need to look at a bigger topic like teen health. But again we need to look at what is a top that parents need addressed. Sara is really passionate about the parent education piece that we’ve done this year. She is will to take this piece on for next year and have 4 or so events directed toward parent education. In order to help with this she will be pulling together a calendar of what we’ve done this year then we can look at it at the next meeting and add/subtract. We also decided that we need to meet a couple times this summer so that we can be ready for next year and the orientation to get parents involved at the very beginning. Base Camp Liaison Reworking next year’s questionnaire Parent Night Out – Summer ideas for kids / PCF ideas for next year (parent welcome)/ Basecamp Liaisons (Thank you) - We talked about just going out to dinner together and having a chance to get together and talk about the year, the summer, next year etc….. If a local restaurant volunteers to host the end of year party we would have this gathering at that restaurant. PARENT Volunteer Folders – We need to start to put together folders that included ~staff name email extension, daily schedule, when teacher prep, class size, basecamp info (What else?) Anita recommended that we look at what Google has to offer to store this Fundraising Treasurer – Paul, Dawn and Deb will be on a joint account for HCIS’s Parent Community Forum. A number of people were asked to hold the account under their SS# and no one stepped forward. So we returned to having a joint account w/ three people that requires two signature for checks. The goal is that next year we will get article and bylaw and change the account over Book Fair – Barnes and Noble – March 6th – just under $500.00. This was a great success. Trivia Night – April – Let’s CANCELLED Guidelines for distribution Cotton Mansion Tea - This will be a fundraiser for next year. Organization – recap meeting w/ Connections committee PTA – National sets the agenda and membership pays due …. PTO – (75%) We set agenda but the cost to set up could be Annual PTO membership about $200, to file for 501©3 about $750.00 we could start working on this all next year. March 8, 2010 PCF Business / Planning Meeting – Holly Hackett-Rich, Anita Gille, and Deb attended the entire meeting. Kap came in about half way through. March 8 at 5:30 – This meeting was held in the evening in part for increase parental opportunity to participate but also so that we could assist in the open house for prospective families. Update from John - None Students Honor and Merit Roll – everyone thought this was a great thing and that we should do it every marking period. We need to find out when the next marking period is. March half days – We will continue to try to arrange physical activities at a discount for our students to participate in. As a result having Vertical Endeavors it looks like a Rock Climbing Club might start. Sara has done a great job at arranges this other ideas are welcome. National Honor Society – Nothing has been done yet we skipped over this. END of year Picnic – The last day of school the student will have a morning at HCIS doing community events. In the afternoon they will be bused out to Park Point. We talked about parents serving and being around. Holly suggested that Texas Road house is might be willing to bring all their stuff and host the food part. Anita thinks that Famous Daves would also do that. (Deb will talk to John) After Prom party – (May 15th) Currently Basecamps Advisors are talking to students to see if they want an after prom party and what their ideas are. BC information is going back to Brianna and we’ll see what role we can play. Teachers Feb Teacher Celebrate was excellent. Letter at Board meeting – was extremely well received and lot of teachers said thank you. March/April/May - Kap will write a letter/email to parents asking for monetary donations. Kap will use the BCPL to help with some of the events she will be planning in May Parent Feb 23rd - we had an evening meeting w/only there we recapped a lot of stuff but what we really did was conference scheduling --- it took three of us about 1.5 hrs to do the actual scheduling Upcoming topic – teen health (Amy) and/or John follow up. We talked about this and thought that maybe we would like to have someone speak about “Healthy Habits for the Summer” - and leave the teen health until another time. We also talked about meeting off campus and celebrating the end of the school year as parents. Maybe Thirsty Pagan. March 16th - Body Image and Eating Disorder – talked about the fact that this would not intentional include the childhood/teenage obesity. Reworking next year’s questionnaire – Not discussed Fundraising Treasurer – Anita gave an update – It looks like it would be best for us to set up a bank account under someone SS#. Jim is willing to be our “treasurer” but he would rather that we use someone else #SS. Deb will ask Sara. Book Fair – Barnes and Noble – March 6th – it was a great success although we don’t have a dollar amount we felt that it was a great community building for the school and good exposure in the Duluth community Trivia Night – YES… let’s go forward in April We talked about the 16th or the 23rd. Deb will talk to the school about dates. We talked about having a separate food event at the same time maybe a club wants to take this on. Guidelines for distribution – we talked about that this with lots of ideas but no conclusions. We also talked about how those guidelines might change depending on the amount of money. We also talked about always wanting to be able to offer scholarship to kids for various event that need them. February 9, 2010 To: School Board of Harbor City International School From: Parent Community Forum Re: Staff pay cuts In an effort to say "thank you" to the teachers and staff at Harbor City International School, the Parent Community Forum wants to publicly appreciate the financial sacrifices that these committed individuals are making in order to continue to make HCIS an academically successful environment. People don’t go into teaching because they want to become wealthy. They teach because they have a passion for imparting knowledge and love to see young people find their way into the world. Because of Harbor City's unforeseen financial woes, it is with great gratitude that we stand by as the devoted teachers and dedicated staff of HCIS shoulder some of the financial burden with loss of benefits and pay cuts. Thank you, Harbor City International School personnel. As parents involved in the PCF we are hearing inspiring reports of HCIS students catching the passion inspired by their teachers. One student is reported to have shocked his mother into stunned silence when he expressed a preference for creating a myth–an assignment from a class nonetheless– over other weekend activities. The teacher had captured his imagination and passion in such a way that writing a paper became the fun thing to do. Another mother reported to us that her daughter is so happy about her experience at HCIS that she chats excitedly all the way to school and is silent and sad on the way home. Her school day is exciting, stimulating and satisfying due to the efforts of teachers and staff. Whenever one student is questioned about her experience at HCIS, she answers consistently that she really enjoys HCIS because of the teachers. They are making her high school experience a positive one, despite the hardships they are facing. These are only a few of the successful stories that excite us. As we lurk about on Facebook we find reports of students looking forward to their week at school because of the stimulating atmosphere and warm community of HCIS. With great encouragement, Deb Dwyer, Holly.Hackett-Rich, Sara Floerke, Anita Gilles NOTES ---PCF Business / Planning Meeting PCF Business / Planning Meeting Feb 3rd at 3:15 – Sara Floerke, Deb Dwyer, Anita Gilles, Holly Hackett-Rich, and of course John stopped by and Dawn was able to join us for a moment. Update from John- John did a brief recap of his parent presentation which resulted in questions. Students Honor and Merit Roll Recognition – hot chocolate and snowballs (powder sugar donut holes) Deb will follow up with Dawn – the thought is that students will be invited through Base Camp and that students will all come to a central location. Holly will be there and take pictures. March half days - Incline Station other ideas – Rock Climbing(Conferences March 3 and 4) – Sara will do the follow up on this as it was successful for the last half day. National Honor Society - we need to continue to work on this. Teachers Letter - Sara is working on a letter of appreciation to the board for the dedication of the HCIS Staff... Looks great…. We all reviewed the letter and talk about having it read at the annual meeting… as a followup to this we are going to see below….. Feb – Have parents bring in Valentine treats on Feb 12th. Parent Jan meeting – raising teens picking your battle – Conversation that we would like to see follow up from John do more parent education maybe a three part series. John would like to do some follow up. Parent Request for Parent Gathering topic– the difference between girl and boys --- Somebody fill me in on what we thought we discussed ~ Comments from email from Anita..”Regarding the difference between boys and girls, we agreed that most people relate to "Boys are from venus and girls are from mars" approach to this topic. We see the differences and have lived them, but we need strategies to deal with their effects on our children. I would like to see this broadened to include a discussion of raising sons who respect women and treat them as equals, the issue of roles stereotypes, in addition to the issues young girls face to ensure we've covered all aspects.…” Feb 23rd – We talked about not doing this because with the Annual Meeting and Conferences and a week-long break a lot is going on. Afterwards I called Sara later and maybe we should do it as a business meeting. Then an email requesting additional input. RESULT – Business Meeting Feb 23rd. March 16th – Body Image and Eating Disorder … There was concern that we needed to acknowledge both ends of the spectrum. Talked about it being parent focused conversation and students should be attending because the conversation is very different depending on who you are talking to. I’ll do a follow up call to Dr. Phelps. Also discussed was the need to talk about youth obesity and the long term effects on health. This is a topic parents can definitely impact through example. Is this consider an eating disorder? Perhaps it should be as it is just as devastating, I will approach Amy to do an educational piece on teen health. Base Camp Liaison – This is a something we need to work on getting more for next year. Reworking next year’s questionnaire – I will send it out and we will all look at it. I would like to streamline Fundraising Treasurer – We talked about needing a treasurer. No one at the table wants the job. We talked about a focused approach. Anita will talk to Jim about being the treasurer and/or what we need to do. Sara would like to see more people involved and this could be an opportunity. We do have parent that step up when we need things done such as monthly mailing and treats. Chili-Cook-off – The event was a success – we hoped for 50 and we had about 60. We raised $328.00. $9.00 was spent to buy donuts for Joe’s base camp as the BC with the most votes. 25% of the profit go to the winning chili. (Question would we do ice cream again?) The Berlin trip group won $82.00. We will give Carol the money and get a receipt and put it in the envelope so that when we get a treasurer it can get reported appropriately. Book Fair – Barnes and Noble – March 6th- Everyone is excited. We are trying to cover the hours of 11-3. Holly will be there in the morning; Sara will come at 1pm. Anita will show up at some point. We talked about Readers Theater, Poetry Out Loud, Knowledge Bowl Challenge, Tacky the Penguin… hopefully music…. Holly is putting something together that can be included in the newsletter and sent via email to friends Organization – recap meeting w/ Connections committee - We talked that we needed to get to this…and maybe it’s a next year question. It will remain on the agenda and may be discussed at the Evening business meeting. New website – we glanced at the website under development. Conferences – called Sara later and sent an email.. Next Business/Planning Meeting Tuesday Feb 23rd at 6:15 PM. NOTES ---PCF Business / Planning Meeting From Jan. 5, 2010 Present: Holly H., Anita, Sara F., Deb and John for part (I struck out items not discussed) Update from John – Talked about progress over time and the MAPS test. The students will take the MAPS in late Jan./early Feb and we will look at growth from the beginning to the end of first semester. These results will go home to parents. Included will be a list of skills that the individual student needs to work on. Information will be given to the parent in writing and meetings. Students Symposium Showcase _SEE CHILI Cook-off Parent Base Camp Liaison and Student Directory – brief overview of what happened. I will talk to John and discuss how we might proceed. Recap of Mingle and Jingle –NOT DISCUSSED but I need to comment- Great success!! We need to coordinate better with the performers. This should only be about an hour including looking at the art work. Instead of having people bring something we may want to consider “bring a plate of goodies to share”. OTHERS COMMENTS????? ADDED item – College Visits and Preparation- Tom’s request of open seats visiting colleges – the question is how to do. I think that parent education about colleges needs to start at the freshman level with the expectation that the students are being prepared for college. – Do we need a subcommittee? Electronic devices – Send a letter to John to show support for the total enforcement of electronic device policy. And that it’s important that this be consistently enforced by all the staff. Fundraising- Chili-cook-off see below Fundraising Chili-Cook-off (the night of Symposium showcase Thursday Jan 21) 5pm is one hour before symposium showcase (ASSUMPTION) Need 5 pots of chili to have (all four parents agreed to submit a pot of chili) I think we are okay with this. Chili should be entered w/ sides / condiments – cheese, chips, cornbread…etc.. Need Bowl/cup – (Deb – Styrofoam) Spoons and Napkins – Holly Desert – Ice cream - Sara Beverages- Sara (Water/lemonade) Deb (Coffee/tea) Advertising - Report cards are going out on Friday. We will include a one page one side flyer advertizing Parent Events for January. (Chili Cook-off, Parent Involvement meeting, and Parent Gathering Raising teenagers and picking your battles) – Anita is putting this together. Facebook. Poster. Email from Dawn. Base Camp Parent Liaison call families and invite them to symposium showcase and the chili cook-off. The Base Camp Parents as a group might like to enter a chili or they might choose to help an their individual basecamps organize an entry. (BCPL need to coordinate with Base Camp Advisors) ALSO we decide to provide a “SWEET TREAT” to the basecamp that has the most families attend. Invite your friends. Winning Chili – Ballots (Anita) The winning chili will receive the opportunity to target 25% of the profit to an HCIS club, team, group. Logistics- location, electrical outlets, tables NOTES FROM DEC. PLANNING MEETING PCF Business / Planning Meeting Dec. 2nd and Dec 8th (Notes seem disjointed because of multiple dates and difficulty in copying in coloring) Anita Gille, Sara Floerke, and Deb Dwyer (Anita didn’t join us on Dec 8th but Anne Wise stopped by) Update from John – John was busy with the drug dogs. We all enjoyed watching who it worked and chatting with the officers after the lock down. This was a normal random search. Hopefully he’s join us next week with a more formal update John stopped by and shared the teacher and board support identify the mission of HCIS as research shows that a focused mission is important for a successful school. HCIS will add college prep to it’s mission statement and look to implement an AP curriculum. Also it’s important to keep what we love about HCIS – symposium, sr projects…. Sara and I also talked about the middle school committee. Sara is willing to work on this. We also talked about the change in the board composition. Students Student evening events- Dec 15th and 17th The Fine Arts department is asking for a our support in many of their events. We scheduled Mingle and Jingle on the 15th to help with hosting that first student holiday event. I’ve asked Kap if she is interested in coordinating the 17th. I’ll let everyone know what I hear. Jim Booth has agreed to co-host the ticket table for the music performance. We will need to find someone else to help. Jim has a 7PM commitment. Need to advertise Java and Jazz Need to have a discussion fundraising- next meeting(We talked about Darin’s request to fund a string teacher position on day a week after school. We don’t think that we want to do fund raising for teaching positions – We need to come up with fund raising guidelines.) ½ day on Dec 8rd. Should we call Incline Station? Sara will call and see if we can get a student rate and then put up poster, have Dawn put in the daily announcements, etc…. (Seven or Eight students went to Incline Station. We need to continue to do these things but won’t do anything for Dec. 23 because of the holidays. Teachers For November Sara wrote and student read staff thank you poem- THANK YOU SARA they were well received. Kap volunteered to take on Teacher Appreciation Week in the Spring. Anita is doing postcard for Mingle and Jingle for teachers to join in the festivities. Parent Looking for Board members-we talked a little about the potential change in board structure, the general consensus is that the parents want to maintain the 3 parent rep board members, the concern is the message that is sent if the number of parent representation is reduced. Organization of PCF- John suggested that we talk to the board and teacher about the PCF being a separate organization or staying under the umbrella of the school. Deb will try to meet with the Community Connection committee to talk about their thoughts. Students ~ Sunday is working on HCIS apparel. We hope to get the order form in the November newsletter so gifts can be ordered for Christmas. The newsletter is expected to go out the end of next week. ~ International night: November 19th – international student hosts – fundraising – more to come ~ Parent Basecamp Liaison – we talked about having a Basecamp parent that could be a liaison to welcome parents, help coordinate Chili cookoff, be the parent contact for PCF or Basecamp advisor Teacher/Staff ~ Sara is the lead for the November Staff/Teacher thank you. This will be a little fundraiser this year and we will split it with the drum group 50/50. Can we talk about this via email? Symposium Showcase – Jan 21st (I think this the date) This will be a great opportunity to do the Mini-Chili Cook-off. This would be a great time for Basecamps to enter the competition Trivia - March Email to Parents: 11/18/09 - STUDENT CLUBS AND AFTER SCHOOL ACTITIVIES Harbor City International School encourages ALL students to participate in at least one student club. HCIS’s philosophy is that student clubs constitute the basis for after school activities. Some clubs also happen during lunch and other activities such as Music Jams, Coffee House happen at different times. Clubs will be driven by student passions and supported by school staff or community members. Every year students and staff share cultural fun and facts to education parents! We hope you come and learn. We also need your help. That night PCF will be hosting an International Finger Food extravaganza to raise funds for several worthy causes: Ghanaian Music Ensemble Student driven clubs Please help by donating an International Finger Food to this fund raiser. Food donations can arrive at anytime during the day and we would like all donations to arrive before 5:00PM. Some ideas have been dolmades (stuff grape leaves), golomkis(stuffed cabbage), frybread, pot stickers, german choclate cake, etc.... Parent Community Forum EMAIL TO PARENTS FROM - 11/5/2009 Hello all, The Parent Community Forum (PCF) wants to remind parents of: Tuesday, November 17th is the Parent Gathering at 6:15pm. David Hammer from the Duluth Superior Area Foundation will be talking about local scholarship at 6:30 and then baci will be talking about technology at Harbor City School especially Powerschool and the Parent Portal at 7:00 pm Thursday, November 19th is International Night during which students will be sharing about the "International" piece of HCIS. We will NEED parent to make international finger food... more details to follow but please save the date and think about a finger food idea. I am energized as we add new depth to the Parent Community Forum (PCF) this year. Your support will help immensely. I’m very excited about this upcoming year and having the pleasure of getting to know many other parents. Research shows that parental support is more important to school success than a student’s IQ, economic status or school setting. Even attending conferences and reading newsletters have a positive impact on our kids. Community involvement and volunteerism in the United States is expected to increase by 20% next year to over 50%. Help us tap into that energy by getting involved in HCIS’s parent group.
